Zachry Group is seeking Project Expediters for our Home Office. The Project Expediting role emphasizes a proactive, systematic & standardized approach which aggressively pursues all available courses of action to detect and avert delays to the contractual delivery date stated within the contract. The Project Expediting role will serve as the single point of contact for all expedited fabricated material or equipment no matter what the criticality level is.
All Project Expediters will use the Project Procurement Management System (PPMS), Enterprise Bridge (EB) and Oracle to track, update, maintain & report. Within PPMS, EB and Oracle you will be able to monitor contractual awards, change orders and obtain copies of the documents at any time. Even though PPMS, EB and Oracle will be the main tool, there are times when “off-line” tools may be required, i.e. Excel spreadsheets. Dependent upon project requirements other tools or systems may be used to support Expediting efforts.
Work with the Engineering Manager to support all On-Time engineering deliverables. Such as:
Initial list of dates when major / critical items, including OEM Equipment, are to be provided for Request for Proposals (RFP)
Tracker report of the Initial list of dates when major / critical items, including OEM Equipment, are to be provided for RFP’s
Expedite Engineered drawing submittals.
Provide tracking report for all Engineering drawing submittals, including subcontractor submittals.
Expedite Engineering for return of submittals.
Monitor the execution of awarded contracts
Monitor the execution of change orders
Expedite all “Project Expediter” contract obligations, documents and material
Update Project Team regularly
Mitigate cost & schedule impacts
Update/Maintain Expediting changes within PPMS, EB & Oracle
Send designated system generated Expediting reports to Project Team weekly
Release Supplier’s to ship once Electronic Material List is submitted/approved
Embed at Engineering office, or manufacturing/fabrication facility
Coordinate & conduct Supplier Meetings (weekly/bi-weekly, monthly)
Travel to equipment suppliers, project sites, engineering offices
Duration will be dependent upon project requirements, however could entail periods of up to one year for major projects where Project Expediter will be required to spend significant time in suppliers shops or an Engineering office. Travel expenses will either be covered or per diem granted; moving expenses may apply for extended durations. Under extended durations of travel (greater than 3 weeks) allowances will be made to allow travel back home on certain weekends depending upon the circumstances.
Extended travel is a valid possibility for this position, lengthy embedding in supplier shops should be viewed as a rarity unless assigned to a major and lengthy project
Associates Degree or equivalent work experience
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Previous expediting experience or equivalent of previous related industry experience
Ability to work in a fast-paced environment
This role must be capable of juggling many details and communicating effectively to multiple groups
Strong organizational skills are required and the individual must be versatile, strategic, and innovative
The individual must be proactive and sensitive to the time critical nature of the contracts and be willing / able to effectively expedite to both the Supplier and Zachry personnel while maintaining a strong rapport and open communication
This role requires an individual with the personality and ability to obtain cooperation without creating a climate of threat
Engineered equipment experience a plus, more specifically Pipe, Steel, Valves etc.
Related Industrial construction experience
Associate’s or Bachelor’s Degree
Employee will be required to communicate in person, via telephone, email, use of arm/hand steadiness, manual dexterity, finger dexterity, multi limb coordination, oral expression, and comprehension. May be required to lift, carry and move objects safely. Ability and willingness to work in a hands-on environment and able to lift up to 75 pounds.
Will work in a general office environment and/or supplier location. Capable of operating and functioning in a fast-paced work environment. Must possess a vision (corrected or uncorrected) that allows for clear visibility from a distance of 20 inches or less. Supplier location will contain: light to heavy equipment vehicles, small to large equipment, materials, communication equipment and tools, people standing, walking, sitting, signaling and talking, bells whistles and alarms.
