Zachry Group is currently looking for Document Management ProfessionalsWe are looking for a range of qualifications ranging from experienced document management administrators to corporate Document Management Managers.This posting is designed to build a pool or pipeline of interested and qualified candidates for current and future needs, but is not associated with an actual position.

 

Position Summaries: 

Document Management Manager

The Document Management Manager has a good understanding of the project document management responsibilities, required software systems, and corporate operating procedures necessary to function in a fast paced multitasking environment. Understanding of contractual reporting requirements, coordinating the initial setup of the Document Management area with the Home Office Project Controls Corporate assistance as wells as coordinating all Close Out activities with the Home Office Project Controls Corporate assistance  is also required of this position.  The Document Management Manager is also responsible for the accurate tracking and storage of all documents received and sent from the site.  This position is typically project site based.  

Experienced Document Management Administrators

The Document Management Administrators will have experience with engineering and construction documentation; and with document control/management procedures. They will be responsible for receiving, maintaining, issuing, and tracking issued controlled documents. They will work in a database document management system and with complex printers. The position will require data input, file and document organization, technical savviness with computers and printers, and computer software proficiency.

  

Position Responsibilities: 

Document Management Manager

 The primary responsibilities of this position include:

  • Implement and supervise established document management procedures
  • Assist system users in location information
  • Interface with the customer for Document Control related work
  • Train and manage document control personnel under their guidance
  • Interface with Engineering, Supply Chain, Construction and Project Management
  • Provide guidance to project personnel for the proper retention of project documents
  • Processing in accordance with established procedure all incoming and outgoing project documents
  • The receiving, tracking, retrieval and distribution of all project documentation, including, but not limited to: Transmittals, Requests for Information (RFI’s), Correspondence, Other Notices such as Engineering Change Notices (ECN’s), Field Memos, Field Action Requests (FAR), Meeting minutes, Safety Documents, Contracts, Drawings and Specifications, and Daily Reports,
  • Distribute documents in an accurate and timely manner
  • Perform periodic audits of record information
  • Accurately and effectively communicate with other members of the project team regarding document status

Preferred Qualifications: 

  • 3-5 years of document control experience
  • 5+ year of office administration
  • Associate or Bachelor’s Degree preferred
  • Knowledge of Windows based products including Word, Excel, PowerPoint, SharePoint, Bentley Enterprise Bridge

 

 

Physical demands and work environment: Physical demands:  Ability to lift a minimum of 10 lbs. (Occasionally more)

 

Work environment:  General office area or near moving mechanical parts and occasionally withstand loud noise environments
