ZACHRY is currently seeking an experienced Clerk for a Baseload Maintenance Position at Lyondell in Corpus Christi, TX

Performs a variety of routine, general clerical duties in addition to all payroll functions (Data entry, time clock verification, transmitting to main office).  Accounts payable.  Processing and monitoring payments to vendors.  Keeps records and makes entries on standardized forms.  Searches files and records to locate readily identified information.  Type and prepare reports, form letters, memoranda and other material.   May operate office machines.    Acts as a receptionist and answers telephones and responds to routine inquiries. Receives, opens, time-stamps, sorts, and distributes mail.  Very good PC and 10-key skill required, must have Microsoft Excel and email knowledge.  Performs related duties as assigned.  

 

Process new employees into Payroll system
Prepares and sends new hire packets to home office
Maintain personnel files
Answer phones/ Receive employee call-ins
Process termination paperwork for Zachry System and SAP
Distribute Daily Absent Report to Zachry site management and supervisors
Maintains the Kronos clock for verification with Timesheets for CCO
Updates and distributes daily absentee report 
Prepares the Timesheets to Lyondell signatures for CCO
Enter time in CATS for CBP/CCO
Verify time entered into Cats balances to timesheets
Compare and Spot Check Kronas Clock with Client Gate System
Maintains all W4 information-New Hires,Wage Classification changes
ESRs for CBP/CCO
Download Payroll File, Print payroll Checks, Verify, organize by supervisor for distribution (Wednesday's)Started 9-28-11.  Distribute Checks on Thursday's to Supv
Prepares timesheets each week for the Foreman's use
Maintain Job Badge issue log
Benefits- Insurance packets, direct deposits, 401k information, change of address 
Verify time entered in payroll is correct for the week for all employees
Completes daily task around the office such as filing, mail, fed ex, maintains inventory of office supplies and order forms, etc…
Completes trade invoices for CBP/CCO and inputs them into CMIS for payables- NEED TRAINING
Record Retention
Updates all CBP/CCO Zachry employee list and gate logs for Lyondell
Post requistions for new employement for CBP/CCO
Maintains and updates all CBP/CCO Zachry employee Hurricane Emergency Evacuation lists
Maintains all information for numerous monthly reports (Missing Shift Report, SMART Focus, Quarterly Metrics,  ETC)
Personal Accounting (in event electronic badging system is down)
Scan & Send all Concur-Expense reports for CBP for billing purposes
Resource Sharing of Employees between sites (time keeping coordination, travel arrangements, expenses)
Zachry Procurement - Maintains requsitions and back up paperwork for billing purposes. Send Admin Mgr PO Log Monthly
Meeting/Luncheon Coordination for Site Management
Visitor Notifications /Maintain Communication with Security (New hires and Visitors)
FEVC Community Service Clerk-Maintain Budget worksheet, files event reports to San Antonio for reimbursment
Trained to back up Admin Manager tasks, invoicing, financials, payables, monthly reports

Qualification Highlights

  • Must have excellent communication skills.
  • Must be computer proficient including a proficiency in Microsoft Office applications.
  • Preferred candidate will have previous experience in a clerical or administrative position.
  • Preferred Candidate will have previous experience working with document controls or equivalent position.
  • Must have reliable transportation.

 

Position Responsibilities

  • Will receive written, verbal, and electronic requests for documents.
  • Will receive both physical and electronic documents.
  • Will create official business memorandums and letters.
  • Will print and issues documents to approved requestors.
  • Will communicate with and submit requests to varies departments in regards to documentation adjustments, release and return of documents, and other requested information.
  • Will use varies computer programs in receiving and tracking documents, and will work with various types of printers in creating hard copies per requests.
  • Must have reliable transportation.

Required Qualifications

  • Must have excellent communication skills.
  • Must be computer proficient including a proficiency in Microsoft Office applications.
  • Must be organized and have the ability to multitask.
  • Must be able to quickly learn processed and adapt to changes quickly.
  • Must be able to follow directions precisely as given.
  • Must be able to work varying hours as required to support construction operations.

Preferred Additional Qualifications

  • Current Zachry or Zachry ROF’ed employee.
  • Former experience working with Zachry Industrial, Inc.
  • Preferred candidate will have previous experience in a clerical or administrative position.
  • Preferred Candidate will have previous experience working with document controls or equivalent position.
  • Preferred Candidates will have previous experience with PC Payroll, accounting and Maximo experience. 
  • Formal/Technical education.
  • Experience working with blue prints and construction/engineering drawings.

Reporting to:

  • This position does not have any direct reports.

Physical Requirements

  • Employee will be required to adhere to large amounts of sitting and working on a computer.
  • Will talk and hear to communicate.
  • Will use arms and hands to signal, grab, hold, turn, push, and pull:  objects, materials, controls and tools.
  • May be required to lift, carry and move up to 35lbs.
  • Position may occasionally be required to spend time on the construction site and will need to have the ability to walk and climb various outdoor conditions.
  • Will be required to wear personal protective equipment (PPE) including but not limited to: hard hat, safety glasses/goggles, ear plugs/muffs, masks/respirators, safety vests, gloves and leather work boots.
